Ecommerce Invoice Processing
Challenge
One of the leading eCommerce company in Europe is using legacy applications for crucial business processes, result of which they must put a lot of manual effort to get the desired output. One of the process includes processing invoices received in the form of PDF or image format from multiple sources and record the data into various kinds of legacy ERP & accounting software. This process requires a lot of manual effort to extract and record information in the systems which resulted in high error rate, low accuracy, high resource consumption and huge investment.
Solution
SmartView goal of RPA is to achieve high quality, productivity boost, cost saving, easy implementation and speed & we found that this process was best for automation. Our approach to solve this problem was made easy with latest technologies using RPA and OCR.
We directed all the invoices to a shared mailbox accessible by the auto bot with a standard subject line. The invoices were then downloaded and read by the Bot with the help of OCR engine. Data point included Customer ID, invoice number, invoice date, address and the total amount. The captured data was then fed into various legacy system and the transactions were created and processed.

Invoice processing increased from 800 to 6000 per day
